2024-25 Housing Contract and Calendar

Contract Cancellations 2024-2025

Please review the Contract Cancellation policies below for a schedule of cancellation fees for 2024-2025 housing contracts.  Because contracting happens at different times of the year for new and continuing students, there is a policy for new incoming students and a policy for continuing students. NOTE: Due to housing demand, there will be no cancellation fee through 11:59PM (PST), September 20, 2024.

After completing the housing contract process (but prior to check-in and picking up keys or prior to your rental agreement start date, whichever occurs first), if you need to cancel your housing contract, you may do so by logging into the Housing Portal and filling out a cancellation form. Depending on when you choose to cancel your housing contract, a cancellation fee may be assessed.

**Students can adjust their dining plan up to five (5) business days after the start of the waitlist contract.

Students who cancel or terminate their 2024-25 housing contract forfeit their housing guarantee. 

If you cancel or terminate your housing contract and would like to live on campus in future quarters, you may apply for our housing waitlist.

Contract Terminations 2024-25

If a student has an extenuating circumstance necessitating a contract termination, they will need to log into the  Housing Portal and submit a Contract Termination Request form.

Review your housing contract for termination criteria. Finding another apartment off-campus is not considered an extenuating circumstance and we advise students NOT to sign leases off-campus while they still hold an on-campus housing contract. You are fully responsible for all housing and dining charges until a decision is rendered on your termination request and (if approved) you complete the move out process. 

Termination Requests that do not meet the housing contract criteria will go through the following process: 

  1. Termination is reviewed along with any accompanying documentation by Housing Administration Services.
  2. If the request meets the housing termination contract criteria, a decision will be sent to the student via email. You should not move out and return keys until you receive a final decision.
  3. If the termination does not meet the housing contract termination criteria, the request will be reviewed by the Undergraduate Housing Committee. Voting members of the committee are made up of Residential Life Residential Assistants and/or Housing Assistants, Residential Life professional(s), and a Basic Needs representative.  The Chair of the Committee is the Associate Director of Housing Administrative Services and functions as a non-voting member. 
  4. Once the Undergraduate Housing Committee provides a decision, the student will be notified via email. Please note that due to available meeting dates and times, decisions for terminations can take a few weeks, please plan accordingly

NOTE: If a Contract Termination Request is granted, the housing costs and dining dollars will be pro-rated based on when the student completes the move-out process which includes an approved Contract Termination, any residential housing move-out requirements and returning keys to the Residence Life Office. Any dining dollar over-usage will be charged to the student.  Find below the schedule of approved contract termination proration below.

Fall Quarter 2024:

  • 9/21/24 - 10/5/24: Students that submit a contract termination request that is approved with move-outs between the date range are billed through the first two weeks of the quarter and are financially responsible through 10/5/24.
  • 10/6/24 – 11/30/24: Students that submit a contract termination request that is approved with move-out between the date range are billed based on the effective release date and move-out.
  • 12/1/24 - 12/14/24: Students that submit a contract termination request that is approved with move-outs between the date range are billed through the last two weeks of the quarter and are financially responsible through 12/14/24.
  • End of quarter contract terminations must be submitted by 12/17/24 and those approved will need to move out before 12/22/24. Contract terminations that are submitted after that will be reviewed in January and students will be financially responsible for the first two weeks of Winter Quarter as it is not prorated.

Winter Quarter 2025:

  • 1/5/25 - 1/18/25: Students that submit a contract termination request that is approved with move-outs between the date range are billed through the first two weeks of the quarter and are financially responsible through 1/18/25.
  • 1/19/25 – 3/8/25: Students that submit a contract termination request that is approved with move-outs between the date range are billed based on the effective release date and move-out.
  • 3/9/25 - 3/22/25: Students that submit a contract termination request that is approved with move-outs between the date range are billed through the last two weeks of the quarter and are financially responsible through 3/22/25.
  • End of quarter contract terminations must be submitted by 3/21/25 and those approved will need to move out before 3/26/25. Contract terminations that are submitted after that will be reviewed in Spring Quarter and students will be financially responsible for the first two weeks of Spring Quarter as it is not prorated.

Spring Quarter 2025:

  • 3/30/25 - 4/12/25: Students that submit a contract termination request that is approved with move-outs between the date range are billed through the first two weeks of the quarter and are financially responsible through 4/12/25.
  • 4/13/25 – 5/31/25: Students that submit a contract termination request that is approved with move-outs between the date range are billed based on the effective release date and move-out.
  • 6/1/25 - 6/14/25: No contract termination requests required or available. Students may vacate their space by following their Residential Office check out procedures. Students will pay to the end of the Spring Quarter for move out dates 6/1/25 – 6/14/25.
